Digital Business Cards for Career Fairs: A 2026 Student & Job-Seeker Playbook
Fall campus recruiting is happening now—not in the spring. A digital business card gives you one QR and one link that a recruiter can save, open later, and still find after they talk to sixty other students. This is the system: card, resume QR, tracked fair link, 24-hour follow-up.
Who this is for: undergraduates and master's students heading to fall 2026 career fairs, recent grads still in the hunt, and anyone converting a Handshake coffee chat into a real follow-up. Career services teams and booth recruiters: there is a short section for you at the end.
Why September 2026 is the window
Handshake platform data puts September and January as the two peak months for internship recruiting. The National Association of Colleges and Employers has long reported that a majority of employers—more than 60% in recent surveys—start intern recruiting between August and October. For large employers, a summer 2027 internship is largely decided by late 2026. Waiting until spring is not a second chance; it is leftovers, smaller firms, and off-cycle roles.
Banking and consulting already ran early. Big tech and most other industries are in the September–October wave right now: applications open, career fairs, first-round interviews, coffee chats. The visible part is the fair. The invisible part is that many employers already screened resumes before they set up the booth. Showing up without a way to leave a clean, findable profile is how you become “the student in the blue sweater” in a recruiter's notes—and then disappear.
A digital business card will not replace a strong resume or a real conversation. It solves the part most career-center handouts skip: how the recruiter finds you after the handshake. For the broader product landscape, see our complete guide to digital business cards in 2026. To build the card itself, use the 5-minute setup guide.

The career-fair contact problem
A busy booth talks to 40–60 students in a session. Recruiters cannot keep 60 paper resumes, 60 LinkedIn URLs spelled out loud, and 60 “I'll email you tonight” promises. Paper gets dumped. LinkedIn searches fail on common names. The students who said they would follow up often never do—and the ones who do send a generic thank-you with no resume attached.
You need one artifact that survives the walk back to the hotel: name, face, target role, resume, LinkedIn, and a way to save the contact. That is a digital business card. The recruiter scans a QR, the profile opens in the browser, they tap save. You get a view in your dashboard. That is the whole loop. For event-style sharing mechanics, see how to share contacts with a QR code at networking events.
What to put on a student digital business card
You do not need a job title you do not have. You need the information that helps a recruiter place you in a hiring cycle and open your work. Map the fields like this:
| Field | What to write | Example |
|---|---|---|
| Headline / title | Major + class year, or the role you want—not a fake employer title | CS Student | Class of 2027 |
| Organization | Your university | Georgia Tech |
| Bio | One sentence of focus. Recruiters skim. | Final-year finance student targeting investment banking |
| Website | Shareable resume PDF (Drive, Dropbox, or personal site). KadiConnect does not host a native PDF upload—use this field. | drive.google.com/.../resume.pdf |
| Required. Use the full profile URL. | linkedin.com/in/yourname | |
| GitHub / portfolio | GitHub for CS and engineering. Portfolio, Behance, or Dribbble for design. Instagram only if the work is professional. | github.com/yourname |
| A professional address you check daily. School email is fine if it does not expire this semester. | first.last@university.edu | |
| Phone | Optional. Include it if you want recruiters to text. Leave it off if you prefer email-only. | Your call |
Use a real headshot—plain background, face visible, no group photos. Recruiters match faces to conversations after a long day on the floor. Keep socials tight: LinkedIn plus one proof-of-work profile beats five unused accounts.
QR code on your resume
A resume is one page. Your projects are not. A QR in the header lets a recruiter open your live profile—resume PDF, GitHub, LinkedIn—without cluttering the page with long URLs. This is also the version of you that works when someone photographs the paper later.
- Size: 2.5–3 cm (about 1–1.2 inches) on the printed page. Smaller fails at arm's length under gym lighting.
- Placement: top-right of the header, next to name and contact. Do not bury it in the footer.
- Label: one line such as “Scan for portfolio + contact.” Unlabeled QRs get ignored.
- ATS: parsers ignore the image. Keep email, phone, and LinkedIn as plain text. The QR is for humans and for fairs.
- Destination: point the QR at your digital card, not at LinkedIn alone. Recruiters can already search LinkedIn. The card is the one place with resume, work, and save-to-contacts together.
Download a high-contrast PNG from your KadiConnect card (the QR can embed your photo in the center) or generate a test code with the free QR code generator. For print contrast and error correction, read the QR-on-business-card how-to and the complete QR business card guide. Print one copy, scan it with an iPhone and an Android before you print fifty.
The 8-hour career-fair system
Treat the fair like a shift, not a stroll. The digital card is the capture layer; the rest is discipline.
Before you walk in
- Screenshot your QR and put it in a camera-roll album named after the fair. Opening Photos is faster than opening an app in a loud hall.
- Create a shareable link labeled with the event name. Use that URL on any printed leave-behind and in tonight's emails so views map to this fair, not to random traffic. That is the same campaign logic we describe for sales teams in why analytics make digital business cards better.
- Apply on Handshake or the company site before you stand in line. Many employers already screened; the fair is recognition, not a first application.
At the booth
Keep a 20–30 second pitch: name, major, class year, the role you want, one proof point (project, internship, or relevant course). When they ask for your details, show the QR. If they still want paper, hand the resume with the QR in the header. If they hand you their card, photograph it and run it through the free business card scanner so you have a clean contact instead of a blurry image in your camera roll.
After each conversation, take 20 seconds in the aisle: recruiter name, company, one sentence they said, the role. Save their card into a contact group named after the fair. You will not remember 15 booths at 9 p.m.
Views, free tier, and when to upgrade
KadiConnect's free plan includes up to 50 card views. A quiet information session fits. An all-day fair where every recruiter and a few classmates scan you may not. If the dashboard is climbing toward the cap the night before, Pro is $4/month for unlimited views. That is a better spend than another box of paper cards you will throw away when your internship title changes in October.
Follow up within 24 hours
University career centers agree on the window: email the same day, or the next morning at latest. Attach nothing bulky if the card already holds the resume link. Mention one specific thing from the conversation so you are not the template everyone else sent.
Copy-paste follow-up
Subject: Great meeting you at [Fair Name] — [Your Name], [Major] Hi [Recruiter first name], Thank you for talking with me at the [University] career fair about the [internship / new-grad role] on the [team]. I especially appreciated what you said about [one specific detail]. My resume, LinkedIn, and project links are here: [your tracked card URL] I would welcome the chance to continue the conversation. Best, [Your name] [Phone]
Put the same URL in your email signature so every later message stays current when you add a project or change your headline. Step-by-step for Gmail, Outlook, and Apple Mail: how to add a digital business card to your email signature. Connect on LinkedIn too, but do not make LinkedIn your only follow-up—many recruiters process fair leads from email and the ATS, not from connection requests.
For recruiters and career services
Students are not the only people drowning in paper. If you run a booth, a digital card on the table tent means students leave with a live link instead of a flyer that dies in a backpack. Scan inbound paper with the same business card scanner and export a vCard into your ATS or spreadsheet before you fly home.
Career services teams that want a shared look for a graduating class can issue branded cards from one workspace—same colors, same fields, student-level links and analytics. See KadiConnect for teams if you are outfitting a cohort rather than one student.
Fall 2026 calendar (keep the card after September)
Campus fairs cluster in September. The same card still earns its keep at later recruiting and industry events—update the shareable link name per event, not the whole profile.
| When | What | Who it is for |
|---|---|---|
| September 2026 | Campus career fairs and info sessions (peak Handshake volume) | Almost every student recruiting for summer 2027 |
| October 2026 | Offer cliff for finance/consulting; big-tech interviews; Najah student expo (Dubai, 25–27 Oct) | Anyone still applying—this is the deadline month |
| Oct 27–30, 2026 | Grace Hopper Celebration, Anaheim | Women and non-binary students in computing; 700+ employers on site |
| December 8–11, 2026 | GITEX Global, Dubai Exhibition Centre | Tech internships, startups, and regional recruiting |
KadiConnect in two minutes (students)
Sign up, add photo and contact, drop your resume URL in the website field, connect LinkedIn and GitHub, and share the QR. Recipients open the card in a browser and can save a vCard—no app. You get view counts and optional shareable links per fair. There is no Apple Wallet pass and no NFC hardware on KadiConnect; QR plus link is the path, and it works on every camera phone at a career fair. Start free on kadiconnect.com.
- Create your digital card. Add a headshot, name, headline (major and class year or target role), email, phone if you want it public, and a short bio. Keep the first screen readable on a phone.
- Link resume, LinkedIn, and work samples. Put a shareable resume PDF URL in the website field. Add LinkedIn. Add GitHub, a portfolio, or Behance if that is where your work lives.
- Generate and test your QR code. Download the QR from your card. Print a test resume and scan from arm’s length on iPhone and Android. Confirm the resume link opens without a login wall.
- Put the QR on your resume and phone. Place a 2.5–3 cm QR in the resume header with a one-line label. Save a screenshot of the same QR to your camera roll so you can pull it up at the booth without hunting through apps.
- Create a tracked shareable link for this fair. Make one shareable link named after the event (for example Fall Career Fair 2026). Use that link on printed materials and in follow-up so views map to that fair in your dashboard.
- Follow up within 24 hours. Email each recruiter the same day with a specific detail from the conversation and your card URL. Add the link to your email signature so every later message stays current.
FAQ
What should a student put on a business card?
Name, a clear headline (major plus class year, or the role you want), a professional email you actually check, LinkedIn, and one link to your resume or portfolio. Add GitHub, Behance, or a personal site only if the work is current. Skip a fake job title—recruiters already know you are a student.
Do recruiters still take paper resumes at career fairs?
Some do, many do not. A growing number of employers will not collect paper at the booth for sustainability or HR rules. Bring a few printed copies anyway, with a QR in the header that opens your digital card so the recruiter can save you even if they refuse the paper stack.
Is a QR code on a resume professional in 2026?
Yes for tech, design, marketing, and most campus recruiting. Place it in the header at 2.5–3 cm, label it (“Scan for portfolio and contact”), and keep the destination URL as plain text too. Applicant tracking systems ignore the QR image—they parse the text fields. The QR is for the human who reads your resume after the ATS pass, and for in-person fairs.
How do you share contact info at a career fair?
Open your digital card QR on your phone and let the recruiter scan it. They land on your profile in the browser—no app—and can save your vCard in one tap. If the line is moving, text or email the same link. After the fair, send that link again in your follow-up so they do not have to hunt for a paper resume.
Do I need a company name if I am still in school?
Use your university as the organization and a headline like “Mechanical Engineering Student | Class of 2027.” If you have a relevant internship, put that in the bio, not as a fake current employer. Recruiters think in hiring cycles; the graduation year matters more than a made-up title.
Can I put my resume PDF on a KadiConnect card?
KadiConnect does not host a native resume-upload field. Put a shareable Google Drive, Dropbox, or personal-site PDF URL in the website field so a recruiter opens it in one tap. Set the file to “anyone with the link can view,” then test the link in an incognito window before the fair.
How many views does the free plan include?
KadiConnect’s free tier includes up to 50 card views. That is enough for a small information session. A busy all-day career fair can exceed 50 scans. If you expect a packed booth circuit, Pro is $4/month for unlimited views—cheaper than reprinting resumes mid-semester.
Do recruiters need an app to open my digital business card?
No. KadiConnect cards open in the phone or laptop browser from your link or QR scan. Recipients can save your contact without installing anything.
