Digital Business Cards for Wedding Photographers & Vendors: A Fall 2026 Booking Playbook
September is still ceremony season in the US, UK, and much of Europe—and it is when 2027 couples start inquiring in earnest. Paper cards cannot show last weekend's gallery. A digital card can: one QR for Instagram, portfolio, and the HoneyBook inquiry, with a tracked link per planner so you know who actually sent the booking.
Who this is for: wedding photographers, videographers, planners, florists, and DJs who live on referrals. This is not a yard-sign playbook—that is the realtor guide. Wedding work is planner → couple → other vendors, then guests asking “who shot this?”
Why fall 2026 is two seasons at once
You are delivering 2026 galleries while quoting 2027 dates. A card printed in April still points at last year's highlight reel. Host the portfolio URL on a digital card and swap the link when the new set goes live. The QR on the bag and the contract does not change. Print contrast and size still matter outdoors—see the QR business card guide and test a scan from arm's length in venue lighting.
One QR for gallery, Instagram, and inquiries
Add Instagram and your HoneyBook or Calendly link. Track which planner’s cards actually get scanned. Free to start.

What to put on the card
KadiConnect has Instagram as a social field and a website field—not a native image gallery and not a HoneyBook plugin. Put the inquiry form or Calendly URL in website. Put the latest gallery on that same field if the form lives on your site. Keep the headline a style line (“editorial film, overcast gardens”), not “Photographer.”
Where the QR goes on a wedding day
| Placement | Who scans | Which tracked link |
|---|---|---|
| Camera-bag sticker | Other vendors, second shooters | “Vendor bag” |
| Contract footer | The couple (already booked) | Client name or “contracts 2026” |
| Reception table tent | Guests asking who shot it | Venue name |
| Thank-you / gallery card | Couple sharing with engaged friends | “Gallery delivery” |
| Planner preferred-vendor PDF | New couples the planner sends | That planner’s name |
Label every printed QR: “Scan for gallery + booking.” Unlabeled codes get ignored next to florals. Generate a high-contrast PNG from your card or the free QR generator.
Tracked links per planner
Paper cannot tell you whether Oak Hill or the downtown planner actually drove inquiries. One shareable link per source, same card underneath. When views spike after a styled shoot, you know whom to thank—and whom to stop stuffing envelopes for. Same idea as why analytics make digital cards better.
Views, free tier, receptions
Free includes 50 views. A quiet engagement session fits. A reception tent plus a bridesmaid story may not. Upgrade for the weekend if you expect a crowd; $4/month is less than one reprint when you swap the featured gallery for 2027 inquiries.
Planners putting together a preferred-vendor sheet can issue the same branded card pattern for a roster—soft fit for teams if you run a studio with second shooters under one look.
- Build the vendor card. Headshot or a clean brand mark, style line, Instagram, portfolio URL, and inquiry/booking URL in the website field.
- Create a tracked link per planner or venue. Name the shareable link after the source. Print or send that URL on the cards they hold.
- Place QRs where referrals actually happen. Bag sticker, contract footer, reception tent, thank-you card. Label each QR (“Scan for gallery + booking”).
- Update the gallery URL without reprinting. Swap the featured portfolio link when 2026 galleries go live and 2027 inquiries start. The printed QR stays the same.
FAQ
What should a wedding photographer put on a digital business card?
Name, a style line (not a generic “photographer”), Instagram, a portfolio or latest gallery URL, and your inquiry form (HoneyBook, Dubsado, or Calendly) in the website field. KadiConnect does not host a native gallery or HoneyBook integration—those links live in website and Instagram.
Where should the QR go on a wedding day?
Camera-bag sticker for vendor-to-vendor, contract footer for couples who already booked, a small reception tent when guests ask who shot it, and the thank-you / gallery-delivery card so they refer you next year.
Will a busy reception blow past the free 50 views?
It can. KadiConnect’s free tier includes 50 views. A packed tent plus a viral Instagram story can exceed that. Pro is $4/month for unlimited views—cheaper than reprinting cards when your featured gallery changes.
Can I track which planner actually sends bookings?
Create a shareable link per venue or planner (e.g. “Oak Hill 2026”). Use that URL on the cards you give them. Views then map to the referral source, not a generic QR.
Do I need NFC or Apple Wallet for weddings?
No. Guests and planners scan a QR with the camera they already have. KadiConnect does not offer Wallet passes or NFC hardware.
Let the gallery travel without reprinting
